Board Member Review
As a Section or Area administrator, the need may arise to review the Board Members on Area or Region Boards. Reasons to keep the information as accurate as possible are as follows:
- All email notifications are sent to the Board Members of record as appropriate. Examples include: Newsletters, Financial Management changes, upcoming events. Each time we send an email, we update the mailing list from the Association Platform.
- Administrators in etrainu are created based on Roles in the Association Platform.
- Financial Management Authority. If a volunteer calls the office and says 'I'm the treasurer for RXXXX, the first thing the staff does is look them up in the Association Platform before granting access.
How to Review Area and Region Board Members
There are two methods to review each Region.
On Screen Review - Individually
From the Association Platform, scroll to the bottom to select the Area/Region you would like to Review. The platform indicates your view level in the upper right-hand corner. Select Setup>Config
Select the Security User tab. The default is Users. All assigned Roles will appear on the screen. To change levels, use the arrows to the right to navigate up to Section or Area or down to Area or Region.
Run a Security User Report
From the Association Platform, go to Players/Admins>Admin Lookup. The system should default to your highest Access Level, if not, click the Reset button. Then change the radio button to Select User Type. You may accept the default of all Security Users, or you may which Security Users (Board Roles) you want to review. Once you have made your selections, click Search.
After your results appear, you can export them to Excel. In the Report drop down, choose Security User Report, then click the printer icon.
From the export tool, click the export icon. In the Export window, select Excel from the drop down and click Export.
It will open in Excel in a single column of data. To separate the data into one column per field (First Name, Last Name, etc), highlight the single column, then click Text to Columns to open the Wizard. Select Delimited>Next, then Comma [uncheck Tab]. For more instructions on Text To Columns, go here.
Review for missing roles, duplicate roles, missing access, expired or inappropriate Back Ground Check statuses.
