Program Operations/Oversight

  • Review and adjust game schedules as needed due to various factors such as rain-outs, field usage limitations, coaching and refereeing needs. Best practices are to send out weekly communications to parents and volunteers to alert them of needed changes. There are many methods to blast out emails and notices (see link).
  • Oversee venue setup for each week of play to ensure the fields, equipment and other operational needs are "good to go" for the next week. The RC can appoint volunteers to maintain and mark fields and ready other needed equipment. RCs may also hire a third party company to mark fields as needed during the active season.
  • Work with the RRA (Regional Referee Administrator) and RCA (Regional Coach Administrator) to promote and execute further education and discipline specific position upgrades. This should be done with the support and planning from the Area.

Communications and Training

  • Return emails from parents and volunteers within 24-48 hours. By quick response to emails the RC will be able to take care of volunteer and player needs that could negatively/positively affect the program. Early communication via email and or phone will help defuse situations that may have led to Dispute Resolution and/or Due Process.
  • Communicate with the appropriate contact for the venue being used/rented to ensure the relationship with AYSO and the venue is progressing through the season without incident or issues.
  • Communicate with the RRA/RCA/CVPA (Child Volunteer Protection Advocate), RGRG (Regional Registrar) and the RGTR (Regional Treasurer) weekly or as needed for oversight and program operations.
  • Begin volunteer appreciation in the first week of the season throughout the entire season. By thanking volunteers for their time, talents and support will go a long way.

Board Meetings

  • Schedule board meetings throughout the season as needed.
