California AED Program: Regional Commissioner Checklist

From AYSO Wiki

Use this checklist to get your Region ready for January 1, 2027. If your Region runs a winter program, finish by mid-December. Otherwise, finish before your first practice in 2027.

1. Get AYSOU set up

  • [ ] Check your AYSOU administrator access. Log in to AYSOU, click Switch in the left sidebar, and select your administrator account. If you don't see one, email support@ayso.org.
  • [ ] Choose who will verify certificates. Your Safety Director, CVPA, and Registrar may already have administrator access. To add someone, send the request to support@ayso.org.

2. Update your Region website

  • [ ] Add a Health & Safety page to your Sports Connect website using this template.
  • [ ] Link your Health & Safety page to California Cardiac Emergency Response Plans on the wiki.

3. Buy NFHS course codes (optional, recommended)

The NFHS CPR & AED course is online, takes about 2 hours, and costs $10 per person. Buying codes for your coaches makes the course free for them.

  • [ ] Sign in or create an account at NFHS Learn. Use a Region email address so the account stays with the Region.
  • [ ] Add the CPR & AED Training course to your cart. When asked who will take the course, choose Others (distribution).
  • [ ] Enter the number of licenses you need. One order can include up to 99 licenses.
  • [ ] Check out and pay. Use a Region payment method and keep the receipt for your Treasurer.
  • [ ] Find your licenses on your NFHS Dashboard under My Courses → Distribution, and follow the NFHS instructions there to send them to coaches.
  • [ ] Keep a list of which coach received each code.

4. Get every coach certified

  • [ ] Tell coaches the requirement: a current CPR/AED certification before their first practice in 2027, renewed at least every two years.
  • [ ] Send coaches their NFHS code, or tell them which other courses are accepted: CPR/AED Certification for Coaches.
  • [ ] Coaches who are already certified only need to upload their current certificate.
  • [ ] Coaches upload their own certificates to AYSOU: Add an AED Certificate in AYSOU. Administrators can't upload certificates for them.

5. Verify certificates every week

  • [ ] In AYSOU, go to Reports → Evidence Status Report to see pending certificates.
  • [ ] Admins verify certificates that cover both CPR and AED and come from an accepted provider. Validate an AED Certificate in AYSOU
  • [ ] Follow up with coaches who haven't uploaded a certificate.

6. Before your first practice

  • [ ] Every coach has a verified certificate in AYSOU.
  • [ ] Every coach has signed the plan summary at registration.
  • [ ] Your Health & Safety Page has been published on your Region website and linked to the wiki

7. Looking ahead to 2028

Starting January 1, 2028, an AED must be available at every practice and game.

  • [ ] Keep a list of which fields have an installed AED and which don't.
  • [ ] Talk with your field owners (cities, schools, parks) about AED access and sharing costs.
